Terms of service
Effective 16 September 2026
Pending legal review
These terms describe how VitalFax intends to operate and how the software behaves. They have not been reviewed by counsel and will be replaced by a reviewed agreement before general availability. Early customers receive a written agreement rather than relying on this page.
1. The service
VitalFax provides secure cloud fax and document exchange, together with the supporting features described on this site. Boostlete LLC operates the service.
2. Accounts and access
Access is granted to an organization, and the organization decides who within it has an account and what each person may do. The organization is responsible for keeping its membership list current, including removing people who leave. VitalFax provides the tools to do so, including ending every session for a user.
3. Acceptable use
You agree not to use VitalFax to:
- send unsolicited bulk fax or otherwise violate laws governing fax transmission;
- transmit material you have no right to transmit;
- attempt to access another organization’s data, or to probe the isolation between organizations other than through a responsible disclosure report;
- interfere with the operation of the service or circumvent rate limits.
Responsible security research directed at your own account is welcome; see the security page for how to report findings.
4. Protected health information
If you will use VitalFax to transmit protected health information, a Business Associate Agreement must be in place first. The agreement governs that data and takes precedence over these terms wherever they differ. See the compliance page for the current status of that work.
5. Your data
Documents and records you put into VitalFax remain yours. VitalFax processes them to provide the service and for no other purpose. We do not sell them, use them for advertising, or use them to train models.
6. Fees
Fees are set out in your plan and on the pricing page. Usage beyond a plan allowance is charged at the overage rate shown for that plan. Usage is metered as it happens and visible in the product before it is invoiced.
7. Availability
VitalFax does not currently offer a service level agreement, and does not publish uptime figures, because it does not yet have enough operating history to commit to either honestly. We will say when that changes rather than quietly implying a guarantee.
8. Third-party transmission
Fax transmission depends on telephone networks and on a third-party provider. VitalFax reports delivery status as the provider reports it, including the reason for a failure. A transmission that the network will not complete is not something VitalFax can force.
9. Termination
You may stop using the service at any time. On termination you may export your data, and VitalFax will return or destroy remaining data in line with the Business Associate Agreement where one is in place.
10. Changes
We will notify customers with an active agreement before making a material change to these terms.
